What we collect, why we collect it, and how to ask us to change or delete it.

Who we are
Strong Towns Langley is the operating name of the Langley Urbanist Society, a BC society (S0081939). We're a small volunteer group, and we only collect what we need to run the society and keep in touch with you. If you have a question about anything on this page, email contact@strongtownslangley.org.
What we collect and why
- Memberships and donations. When you join or donate through Zeffy, we get your name, email address and what you paid. Zeffy handles the payment itself, so we never see your card number. We keep the register of members the Societies Act requires, and we use your email to send notices of general meetings and other society business.
- Our contact form. Your name, email address, what you're interested in and your message come to us by email so we can reply. The form also logs your IP address and uses Google reCAPTCHA to keep out spam.
- Event sign-ups. Your name, email address and phone number, and whether you'd like our newsletter, so we can follow up about the event.
- Our WhatsApp group. If you ask to join, we get your phone number and use it to add you to the group.
- Our newsletter. The newsletter runs on Substack, which handles your sign-up under its own privacy policy.
- Email. Messages you send to contact@strongtownslangley.org or our other addresses are kept in the society's Google Workspace account.
- Facebook and Instagram. When you comment on our posts or message our Page or account, we see what you send and your profile name, and we use them to reply. Our app only reaches our own Facebook Page and Instagram account.
Our AI assistant
Some of the society's administrative work is done by Todd, our AI assistant, which runs on Anthropic's Claude. Todd reads and answers email sent to the society, reads comments and messages on our Facebook Page and Instagram account, and helps keep the membership and financial records, so the messages and records it works on are processed by Anthropic. Our directors oversee Todd, and anything it can't answer goes to a director.
Cookies
The website sets 2 small cookies of its own. One remembers which of our pages you've visited for 30 days, which decides when to show our donation message, and the other stops that message from showing again for 14 days. We don't use advertising or analytics trackers. Some pages show content from other services, such as Zeffy forms, the Substack newsletter, YouTube videos, Google Maps, Google Drive files and Google Fonts, and those services may set their own cookies.
Who we share it with
We don't sell or rent your information. We share it only with the services that run the society, which are Zeffy for memberships and donations, Google for email and files, Substack for the newsletter, Meta for Facebook and Instagram, Anthropic for Todd, Zoom for meetings and our web host, and where the law requires it, such as directors' names in our BC Registries filings. Some of these services store information outside Canada, including in the United States.
How long we keep it
We keep the register of members, our financial records and other society records for as long as the Societies Act and the Canada Revenue Agency require, and we remove other information once we no longer need it.
Your choices
Under BC's Personal Information Protection Act, you can ask what personal information we hold about you and ask us to correct it. You can also ask us to delete it, and we will, apart from what the law requires us to keep, such as the register of members and financial records. Email contact@strongtownslangley.org and we'll answer within 30 days.
Deleting your Facebook or Instagram data
You can delete your own comments and messages on Facebook or Instagram at any time. To have us remove anything we've saved from them, email contact@strongtownslangley.org with the name on your account, and we'll delete it within 30 days and confirm by email.
Changes
If we change this policy, we'll update this page and the date at the top.
